The College Board, a national educational organization, is conducting a search for an Administrative Associate to support our Reston, VA Office.
Position Summary
The Administrative Associate will provide overall administrative support to a large office. Primary responsibilities include efficient and accurate package and mail service to the staff, proper maintenance of the production rooms and pantry equipment. The associate is also responsible for providing administrative assistance for internal and external meetings, workshops and conferences. This individual must possess strong communication and interpersonal skills, problem solving ability and customer service skills.
Responsibilities
Serve as primary back up for front desk reception covering lunch and breaks.
Sort incoming mail, coordinating pick-ups and processing outgoing mail when necessary. Processes incoming and outgoing USPS, Federal Express and UPS packages. Assists with accurate and timely distribution of mail to Reston office staff and to all College Board offices via interoffice mail.
Assist with conference room/meeting set up and logistics serving as primary contact for all 9th floor conference room meetings, including scheduling, and set up planning; assist administrative staff, corporate staff, and trainers with set-up for special Board meetings, training sessions and other meetings as needed, including set up of catering and clean up; assist in the planning logistics and execution of all annual meetings and conferences including coordination of meeting arrangements for planning committees and handling overall communications regarding logistics with meeting owners, presenters and speakers as appropriate.
Takes inventory of and orders all office supplies, including paper, toner, general office supplies, and new hire supplies; Maintains supply of letterhead and envelopes, including ordering and storing.
Processes and reviews purchase requisitions, orders, and invoices for the office. Reports issues, errors and works to bring issues to closure.
Maintain cleanliness/organization of the large production room, general meeting rooms and mailrooms as well as keeping them well stocked with proper supplies; Submit building requests through property management for items like HVAC and cleaning issues.
Responsible for new hire set up, including ensuring workstations are clean, set up with supplies, and ready to be used, take pictures and distribute id badges for new staff
Qualifications
High school diploma or equivalent required, BA Degree preferred. Minimum 1 to 2 years of related experience required.

Computer literacy, including proficiency in Microsoft Office applications with particular demonstrated strength in Word, Excel and PowerPoint
Ability to effectively handle multiple situations simultaneously
Ability to operate common office equipment
Strong delegation and teamwork skills
Strong organizational skills, including attention to detail; time management skills and ability to prioritize responsibilities
Ability to work independently and responsibly under stressful situations
Problem solving ability
Ability to lift up to 50lbs
